A practical workflow for receiving, confirming and routing a temporary worker's leave request without letting AI approve or refuse it.

The short answer

An AI worker hotline can verify the caller, identify the active assignment, collect the requested date or shift, record the reason category only when the approved process needs it and create a request for the responsible person. The worker should receive a clear confirmation that the request was received, together with the expected response channel and time.

Receipt is not approval. The assistant should not promise leave, remove a shift, choose a replacement, interpret entitlement or penalise a worker. Until an authorised person decides and the planning system is updated, the existing schedule remains the operational record.

Separate a request from a sickness report or shift change

A planned day-off request is not the same event as reporting that someone cannot attend a shift, nor is it the same as accepting a change proposed by the agency. Start by asking what the worker wants to do: request planned leave, report an immediate inability to work, correct a schedule or ask what is already approved.

This first distinction controls the rest of the workflow. A worker who says they cannot safely work today may need an urgent human route. A request for next month can enter the normal approval queue. The system should not force either case into a generic absence label.

Collect the minimum facts needed for a decision

After the configured identity check, match the worker to the current assignment and ask for the date, full shift or partial shift, request type and preferred reply channel. Confirm the local date, start time and time zone aloud when the workforce crosses borders or works overnight.

The intake does not need a detailed personal story. GDPR principles require data to be adequate, relevant, limited to the purpose and accurate. If the agency needs a reason category under its policy, offer the approved options and allow a private or other response that goes to a person.

Return an acknowledgement that cannot be mistaken for approval

The closing message should repeat the requested date or shift and give the case status in plain language: received and awaiting review. It should name the team or role that owns the decision, explain how the answer will arrive and state what the worker should do if no answer comes by the agreed deadline.

Avoid phrases such as booked, arranged or all set before approval exists. The written follow-up should use the same status as the call. A message that says received while the voice says approved creates a predictable dispute.

Route by the real owner and the time left before the shift

Routing may depend on branch, client, assignment, leave type, language and how soon the affected shift begins. Each rule needs a primary owner, fallback owner and response target. Requests near a shift require faster review, but urgency does not give the assistant authority to approve them.

Write the case once with a stable ID and send notifications from that record. If the worker calls again, update the existing request instead of creating a second one. The owner should see the original request, later corrections, previous messages and the current schedule version.

Keep approval, entitlement and staffing decisions with people

Annual leave and temporary agency work are governed by EU minimum rules alongside national law, collective agreements, contracts and local policy. A general-purpose call flow cannot determine whether a particular request must be granted, which balance applies or whether an exception is justified.

An authorised person decides approval or refusal, selects any replacement, resolves conflicting requests and considers pay, notice, protected circumstances and client coverage. AI may present the relevant record and deliver the approved decision. It should not rank workers by perceived reliability or use prior requests to influence access to work.

Synchronise the decision with the schedule before notifying the worker

A decision is only operationally complete when the authorised outcome and the live planning record agree. Use a version check before writing the change. If the shift changed while the request was waiting, stop the automated update and ask a person to reconcile the records.

Notify the worker from the final state, not from an earlier task comment. The message should identify the request, decision, affected date or shift and any approved next step. A refusal should follow the agency's policy for explanation and review. The AI does not invent reasons or turn silence into consent.

Test conflicts and measure the whole request cycle

Test a request for the wrong assignment, two overlapping requests, an overnight shift, a corrected date, a disconnected planning system, no response from the first owner and a caller who changes language. Also test a same-day request that turns into a sickness or safety report during the conversation.

Measure complete intake, duplicate prevention, time to owner acknowledgement, time to decision, schedule reconciliation, delivery of the outcome, repeat calls and manual corrections. A useful system reduces uncertainty without hiding it. It records the request accurately, shows who must decide and keeps employment decisions in human hands.
